The Best Fuel Card for a Small Business in NZ

The best fuel card for a small business in New Zealand is the one accepted where your vehicles already fill up. NZ Fuel Cards supplies cards for BP, Caltex, Mobil and Z, so instead of committing to a single fuel company you pick the card, or the two cards, that suit your routes. Every transaction still ends up on one invoice.

There is no minimum fleet size. The same offers apply whether you run one vehicle or twenty. What changes from business to business is which card which card saves you the most.

Which fuel card saves the most per litre?

The published discounts differ by fuel and by where you fill up. This is the current offer set:

The Z Business card also earns Airpoints at Caltex and Z, at one Airpoints Dollar for every 100 litres. Airpoints are not earned at Challenge.

Do I need more than one card?

You can hold as many cards as you like across BP, Caltex, Mobil and Z. One or two per person is usually enough. A common setup is a Mobilcard for petrol and a Z or BP card for diesel, or simply the two brands closest to your home base.

There is a reason it works this way rather than one card covering every brand. Fuel suppliers offer a greater discount on their own branded card than they will on a card that covers their competitors too. Separate cards, one account, one invoice. That last part is the difference between using NZ Fuel Cards and going direct to each fuel company. Direct, you run four accounts and four bills to collect four discounts. Here you keep the discounts and reconcile once.

Is a truckstop worth it if I only run a ute or a van?

Yes, and this is the point most small businesses miss. Truckstops are not restricted to trucks. Cars, vans and utes can use them, and on diesel the gap is the largest single saving available.

At a service station, both the BP and Z cards discount diesel by 9c a litre. At a truckstop, the BP card moves to on average 15c. The Z card switches to 11c off the Z national price, which usually lands near 20c off the truckstop pump price. If a truckstop is located near your yard or on a route you already drive, that is the decision worth making before you compare anything else.

What does a fuel card actually cost?

  • No joining, account or transaction fees.
  • $1.53 including GST, per card, per month.
  • A one-off courier fee on your card order. $5.50 for urban delivery or $12.50 for rural, including GST, for the whole order rather than per card.
  • No time-based contract. You can leave whenever you choose.
  • A 1.5% convenience fee if you pay by credit card, calculated on the GST exclusive value. Direct debit from a bank account has no fee.

Cashflow matters as much as the per-litre number for a small business. Buying on account gives you up to 24 days credit, and invoicing runs weekly, fortnightly, twice monthly or monthly so the fuel bill can be timed against when you get paid. Terms and conditions apply.

Can a sole trader get a fuel card?

Yes. NZ Fuel Cards works with sole traders, SMEs, limited companies and corporate fleets, and the discounts are the same offers. The only real difference is how many cards you order and what limits you set on them.

What should you check before applying?

  • Decide your limits up front. You set daily and monthly purchase limits, product restrictions such as fuel only, or no restrictions at all, during the application. Every card carries a PIN.
  • Know how fuel cards work with other loyalty schemes. A fuel card discount cannot be combined with loyalty schemes. Mobil Smiles, Pumped, Everyday Rewards and Fuelup supermarket vouchers do not stack with it, so compare against what you currently save, not against the sticker price.
  • Compare against your own bill. Send a recent fuel invoice and NZ Fuel Cards will benchmark it against their pricing, obligation free.

How long does it take to get set up?

The online application takes about ten minutes. Once approved, cards arrive in around seven to ten working days by courier, and a signature is required on delivery. BP and Mobil cards work as soon as they arrive, using the PIN you chose during the application. Z cards need a quick call to activate and are ready to use four hours later.

Keeping fuel card spend under control comes down to visibility. When you can see how each card is used, by which vehicle and at which site, anything unusual stands out on its own and you can deal with it early. How do I know how my fuel cards are being used?

You do not have to log in and check. The eAlert system sends an automatic email when a transaction matches something you have asked to watch for. There are ten alerts to choose from, and these are the ones businesses reach for most:

  • After-hours use: activity outside the hours your vehicles normally run.
  • Multiple transactions in one day: several fills on the same card inside 24 hours.
  • Exceeding 80% of a card limit: a heads-up before a card declines at the pump.
  • Multiple fuel types: more than one fuel type bought on a single card.
  • Non-fuel transactions: purchases that are not fuel at all.
  • Off-truckstop diesel: diesel bought away from a truckstop on a BP or Z card, where you may be giving up a saving.

Each alert is a prompt, not a verdict. It flags something worth a look and leaves the judgement to you. Most of the time the explanation is innocent. The value is in finding out now rather than at the end of the month. What can fuel card reports show me?

Alerts tell you about a single transaction. Reports show you the shape of your spend over time, organised the way your business actually runs:

  • Cost Centre invoices group spend by department, site or project, which makes the accounting side simpler.
  • Page per Rego or Driver allocates every transaction to a vehicle or a person, so accountability is clear without anyone having to reconstruct it.
  • Fleet Reports pull the whole fleet’s fuel use into a single view.
  • Weekly or daily transaction summaries arrive on a schedule, so nothing waits for the monthly invoice.

Between them, every litre is tied to a card, a vehicle, a site and a date.

What does this look like in practice?

Take a business whose vehicles only run during weekday hours. A card leaves the vehicle it belongs to and gets used at an unmanned site late at night. Nothing about that transaction is unusual on its own. It is a normal fill, at a normal site, on a valid card.

Without an alert, it surfaces as one line on next month’s invoice, among dozens of others, and only if someone reads closely. With the after-hours alert switched on, it is an email the following morning naming the card, the site, the time and the amount. From there you can check it, and suspend the card from the app if you need to.

The transaction is the same either way. What changes is whether you find out in a morning or a month.

What else helps keep spend under control?

  • Set limits to reality. Give each card a monthly limit that matches what the vehicle actually uses, rather than a round number with room to spare. You can lift it later if a route changes.
  • Use the PIN. Every card is set up with a PIN when you apply, so a card on its own is not much use to whoever finds it.
  • Read the invoice. It is itemised by card, date, site and amount. Two minutes down the column catches the odd thing before it becomes a habit.
  • Keep the card list current. Cards for vehicles you have sold or staff who have moved on are the easiest ones to forget. You can suspend or cancel them yourself in the app.
  • Suspend a lost card straight away. The gap between a card going missing and someone reporting it is the risky part. Close it fast, either in the app or by calling the team.

What is Off Pump Price? Explained with Examples

Off Pump Price is exactly as it sounds; a fixed discount off the pump price for every litre of fuel purchased. Simple. For example, a discount of 8c off the pump price of $2.029 equates to $1.949 per litre purchase price.

Deciphering National Pricing in New Zealand

National Pricing is where there is a single national price set for fuel across NZ by each of the fuel suppliers. This price, like pump pricing, fluctuates. NZ Fuel Cards then provides a discount off this set price.

Comparing Off-Pump Price Vs Off-National Price Discounts

In most instances we advise “off-pump” discounts, as the customer knows what they are getting every time. But there are circumstances where Off-National Price offers a better discount. For example, if you were purchasing Ultimate Diesel at BP in Wellington during May 2023, you would have saved between 10c and 20c per litre with our Off-National Price discount, compared to 8c with Off-Pump discount. Similarly, with our National Price discount at most BP Truck Stops around NZ you will save 16c per litre, compared to 8c with our off pump offer.

At NZ Fuel Cards we supply fuel cards for Mobil, BP and Z. Z Cards can also be used at Caltex and Challenge stations, BP Cards can also be used at GAS stations, while Mobil cards can also be used at various Allied, NPD and Waitomo stations. Somewhere for everyone!

Tailoring to Your Needs

We have negotiated separately with each fuel supplier to provide the best discounts possible, which means there is one card type for each fuel supplier.  You can choose one card or a combination of cards from these suppliers to suit your needs.

Optimal Usage

We generally suggest using 1 or 2 cards per person. For instance, you might use petrol and diesel for your business, and get a Mobilcard for your petrol discount, and BP card for your diesel discount. Or perhaps BP is closest to where you live, and Z closest to your work. You can choose whatever suits your circumstances, and all transactions will appear on one bill.

There is no obligation to sign up with NZ Fuel Cards when requesting a benchmark.  Our expectation is that we can offer you a better price, and you then decide if you want to take up our offer or not.  Worst case, you confirm you are getting a good price from your current provider, and it cost you nothing to find out.

To request a Benchmark comparison on your current fuel card account:

Automated Alerts for Effective Fuel Management

You can receive automated Alerts when:

  • Your staff spend over 80% of their monthly card limit
  • multiple transactions are made in one day
  • transactions are made outside normal business hours (eg. 8pm to 5am)
  • multiple fuel types are purchased

Its Importance for Large Fleet Management

eAlerts can be particularly useful when managing a large fleet of vehicles.

Case Study

A customer had a fleet of 15 vehicles.  The vehicles were only used by staff during business hours.  An employee had removed a fuel card from a vehicle and was filling up their personal vehicle at an unmanned fuel site late at night.  The eAlert informed the customer that a fuel card was being used outside normal business hours.  The client rang NZ Fuel Cards and had the card suspended and investigated the transaction.
